Responsibilities:
As a Medical Services Administrator and Typist to work onsite (Hawthorn East) supporting our medical specialist and the medical team, you will play a crucial role in ensuring the smooth operation of our medical examination process. Your responsibilities will include:
- Providing timely and courteous customer assistance
- Handling general reception duties, including greeting claimants, managing consent processes, and paperwork
- Performing medical transcription and audio typing with exceptional accuracy
- Preparing medical rooms for appointments
- Maintaining effective and professional communication with clients and specialists
Specialist Coordination:
- Updating specialists' diaries with appointment bookings
- Creating appointment lists for specialists
- Emailing stakeholders with specialist availability
- Following up on files for upcoming appointments
- Contacting claimants to confirm appointment details and COVID screening
- Creating telehealth links and facilitating appointments
Case Management:
- Organising files, scanning and adding coversheets
- Setting tasks for follow-up actions
- Preparing reports for Quality Assurance (QA) and adding coversheets to the files
- Updating custom fields with specialist fee, appointment/review dates, report due dates, etc.
- Preparing invoices for QA
- Emailing completed/paid reports to clients

- Strong understanding of medical terminology

- Proficiency in accurate typing and data entry
